Creating Your Own Tools
While none of these are wrong, they will not provide you with tools that truly make planning easier and more effective. Here’s why: Unless you are an event planner, you’ve probably never planned an event of this magnitude. A wedding is very different from hosting a dinner party and requires tracking many more vendors and data points. Creating a spreadsheet for yourself might seem fine at first, but you’ll realize quickly that you may not even know what you’re supposed to keep track of! Using spreadsheets and tools created by seasoned event professionals will eliminate countless hours on your computer formatting and trying to figure out what you need to make note of.
Free Online Tools
There are a ton of free tools online. There might even be some fabulous ones we haven’t seen. But what we’ve found is that the majority of them are the free “hook” that gets you to their website so they can in turn offer other services or sell you other wedding-related items. While there is nothing wrong with this, you’ll probably find that these free tools aren’t all they were cracked up to be. Because the website is not making money on the free tools, the tools are probably not their focus or where they spend resources. As such, free tools can be extremely limiting in terms of what they can do beyond what’s there and allow for very little customization (adding in your own categories, budget items, vendor types, etc.). Also, most are either PDFs that can be printed out or are online and can’t be downloaded. Unless you have a really awesome eraser, paper tools really aren’t very helpful for keeping track of an event that is constantly changing (revised vendor quotes, adding things in/taking them out, deposits paid, guests who RSVP and change their mind, etc.). Plus, if you have a piece of paper, you’ll probably always need a calculator nearby too since the paper can’t add things up for you.
Pre-Packaged Wedding Binder
The good thing about a pre-packaged wedding binder is it was likely created by a wedding professional and will probably contain lots of good advice. However, as with most free tools, both the binder and the free tools are still physical paper. Now, paper is awesome for sketching out your design or jotting down directions to the caterer you need to visit, but it’s downright terrible at subtraction and is susceptible to tears from all the erasing you’ll inevitably have to do. While we do advocate that you keep a wedding binder, we feel it’s better suited for things like: linen samples, pictures of your dress, floral ideas that you cut from Martha Stewart for your florist, a copy of your invitation for your calligrapher, and master copies of signed contracts.
The Yellow Note Pad
Ah, the yellow note pad. This tool has the unique ability at having every problem of the four previous tools – it’s clearly paper, doesn’t add for you, and you’ll have no idea what you need to keep track of. Keep a yellow note pad in your binder for quick notes, but using this as your main planning tool will just add to your organizational stress.

This requires hand counting and it’s easy to miss a guest or child.
